1. Scope
This Privacy Policy applies to Placeholder Dashboard, My Stats Portal, and any related websites, dashboards, APIs, bots, or support channels that link to this policy (together, the “Services”). The Services are operated by Orbit Suite (“we,” “us,” or “our”).
Third-party platforms that connect to the Services have their own privacy practices. This policy does not govern those platforms.
2. Information we collect
Information you provide
- Account and profile information: display name, username, user ID, avatar, email address, organization or community membership, and account settings.
- Content and configuration: dashboard settings, links, labels, role mappings, filters, notes, and information you choose to submit or import.
- Communications: messages and attachments you send when requesting support, reporting an issue, or contacting us.
Information collected through connected services
If you connect a third-party account or an administrator enables an integration, we may receive account identifiers, public profile details, membership or role data, activity status, and statistics authorized by you or made available by that service. We only request the permissions needed to provide the integration. You can revoke access through the connected service, although previously imported information may remain until it is deleted under our retention practices.
Information collected automatically
- Usage data: pages viewed, features used, clicks, searches, export activity, referring pages, and timestamps.
- Device and log data: IP address, browser and device type, operating system, language, approximate region, diagnostic logs, and security events.
- Cookies and local storage: data needed to keep you signed in, remember preferences, prevent abuse, and understand basic service performance. We do not use this data for cross-site advertising.
3. How we use information
We use information to:
- provide, personalize, maintain, and improve the Services;
- authenticate users and apply roles, permissions, and organization settings;
- synchronize authorized data from connected services and display statistics;
- generate reports, analytics, and exports requested by users or administrators;
- respond to support requests and communicate important service notices;
- detect, investigate, and prevent fraud, abuse, security incidents, and violations of our Terms; and
- comply with law and protect our rights, users, and the public.
Where applicable law requires a legal basis, we rely on performance of our contract, our legitimate interests in operating and securing the Services, consent, and compliance with legal obligations, as appropriate.
5. Data retention
We retain personal information only as long as reasonably necessary to provide the Services, meet legal and accounting requirements, resolve disputes, and enforce agreements. Account data is generally retained while the account is active and for 4-6 WEEKS after deletion or deactivation. Security logs and backups may be retained for 6-12 MONTHS.
Retention may vary by data type, organization settings, legal obligations, and whether information is needed for an active investigation. Aggregated or de-identified information may be kept indefinitely.
6. Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, restrict, object to, or obtain a portable copy of your personal information. You may also have the right to withdraw consent and appeal a denied request.
You can update some information in your account settings, disconnect third-party integrations through their respective settings, and adjust browser controls for cookies or local storage. Blocking essential storage may prevent sign-in or other features from working.
To submit a privacy request, contact us using the details below. We may need to verify your identity and authority before completing the request. If your account is managed by an organization, we may direct your request to that organization.
7. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for protecting your credentials and promptly reporting suspected unauthorized access.
8. International data transfers
We and our service providers may process information in countries other than the country where you live. Those countries may have different data protection laws. Where required, we use recognized safeguards for international transfers.
9. Children’s privacy
The Services are not directed to children under 13, or the minimum age required to consent to data processing in their country. We do not knowingly collect personal information from children below the applicable age. If you believe a child has provided us with personal information, contact us so we can review and delete it as appropriate.
10. Changes to this policy
We may update this policy as the Services or legal requirements change. We will post the revised policy with a new effective date and provide additional notice when required. Your continued use of the Services after an update is subject to the revised policy.
